50,000 Tasks Per Week: How We Built an AI Agent Team That Never Sleeps
It started with a simple problem: I had too much to do and not enough time.
Like most entrepreneurs, I was drowning in repetitive tasks. Answering emails. Updating CRM. Creating invoices. Following up with leads. The list never ended.
Then I discovered what AI agents could actually do. Not "help with." Not "support." But completely take over.
Today, my AI agent team completes 50,000 tasks per week. For less than €30 in API costs.
Here is exactly how I built it.
The Architecture: 16 Agents, 4 Teams
I divide my agents into four specialized teams:
- Communication Team: Emma (Executive Assistant), Social Sam, Support Sarah
- Development Team: X (CTO), Code Carlos, QA Quincy
- Operations Team: Donna (Operations), Finance Frank, Analytics Andy
- Marketing Team: Don Draper, Content Carla, SEO Erik
Each team has a specific domain. Within teams, agents coordinate and hand off work to each other.
How They Communicate
I use n8n as the orchestration layer. Every agent has:
- A specific role and responsibilities
- Access to certain tools and APIs
- Instructions on when to escalate to me
- Rules for when to hand off to another agent
When an email comes in, Emma reads it, decides if it's urgent, drafts a response, and either sends it directly or flags it for my attention. When a lead comes through the website, Support SarahQualifies them and hands them to Sales Steve. When code is pushed, X reviews it and either approves or requests changes.
No micromanagement required. I set the rules once, then let them run.
The Numbers
After six months of building and refining, here is what the agent team delivers:
- 847 tasks per day (average)
- 50,000+ tasks per week
- €28/month in API costs (OpenAI + Anthropic)
- 0 full-time employees for these tasks
- 2-4 hours per week of my time for oversight
What Each Agent Actually Does
Emma — Executive Assistant
- Processes incoming emails (filters, prioritizes, drafts responses)
- Manages calendar (schedules meetings, sends reminders)
- Updates CRM (new contacts, deal stages, follow-ups)
- Prepares daily briefing (summarizes activity, flags priorities)
X — CTO
- Reviews every pull request (style, bugs, security)
- Monitors deployments (automatic rollbacks on failures)
- Answers technical questions from the team
- Creates technical documentation
Don Draper — Marketing Lead
- Creates social media posts (LinkedIn, Instagram, Twitter)
- Writes blog post drafts
- Plans content calendar
- Analyzes engagement metrics
The Cost Breakdown
People always ask about costs. Here is the real breakdown:
- OpenAI (GPT-4): ~€15/month
- Anthropic (Claude): ~€8/month
- n8n (self-hosted): €0 (running on my server)
- APIs (Pipedrive, Gmail, etc.): €5/month
Total: €28/month
That is less than what I would pay a virtual assistant for one hour per week.
What I Learned
Building this system taught me several things:
- Start small. Do not try to automate everything at once. Start with one agent, one task. Iterate.
- Clear boundaries matter. Every agent needs strict rules about what it can and cannot do. Ambiguity = chaos.
- Escalation is key. Agents should handle 90% of tasks. The 10% that need human judgment should route to you quickly.
- Cost monitoring is essential. AI can be expensive if you are not careful. Set limits and alerts.
